Introduction

The system allows the user to issue a quote on a brand new car with added extras on screen and to a printer. It enables the user to file customer details, add a mark-up price etc.

System Requirements

You require a minimum of

  • Microsoft Xp
  • Dell Optiplex GX745
  • Genuine Intel CPU
  • 1.18 GHz, 504 mb RAM

Microsoft office must also be installed along with the component excel. The system will work successfully with either Excel XP, Excel 200 or Excel 97. The system uses very little disk space and hence the size of the hard drive is not an issue. A laser printer is recommended to insure fast, high quality output.

Installation

The system is supplied on a USB memory stick with 128mb of memory. It is recommended that the file is installed on the computers hard drive.

How to install.

  • On the desktop create a new folder by right clicking the mouse button and then clicking on New, Folder. Name the folder American Car Imports.
  • Insert the memory stick containing the system.
  • Click on the start button and select my computer. Double click on Removable Disk (E:)
  • Drag the file called Workbook on to the folder American car imports.


Loading

To load the system simply double click on the icon from the American Car imports folder.

The system displays its start up screen with details of the company American Car Imports. The user has many options.

  • Enter new customer details, View existing customers
  • View car details
  • View and change car prices with the mark-up tool
  • View the extras
  • Create an invoice
  • Go to the company’s website.


Entering customer details.

After clicking on the customer details button from the main menu screen you will be take to the details sheet.

To enter new details click on the “enter new details” button. This will automatically load the userform.

Then simply enter the details in the logical order of the userform. When all fields are filled, click ok.

Saving details.

Due to a macro which has been set-up any details entered with automatically be entered onto the next sheet “archive”. With the latest entry appearing first.

Viewing customer details

To view customer details simply click the customer details button from the main menu to view the latest customer entry or alternatively select the archive sheet to view all customers on the system.

Viewing car details

To view car details access the main menu screen by switching between sheets or re-loading the system.

Then click the car details button. This will automatically take you to the car details sheet.

Here you can view details on all cars including the make, model, colour and top speed.
Viewing and altering car prices.

Follow the same procedure to access the main menu screen and then click on the car prices button. This will take you to the car prices sheet.

Here you can view all prices for the cars as each one has a unique identification number alongside. To add a mark-up on all cars simply increase/decrease the spinner next to the mark-up option. This will affect the prices of all cars to either raise or lower prices. Eg, this is a 20% mark-up on all cars:

As you will see the prices have increased by 20%.

To convert the currency to Sterling instead of Dollars scroll down to the Currency Converter at the bottom of the sheet.

Enter the price of the car you wish to convert into the first cell under column heading A. If you wish find the current conversion rates using a website eg. Yahoo Currency Converter, and enter the conversion rate of $ to £ in the cell under column heading B. Under column heading C the calculation will change automatically. This value is in Sterling (£)

Viewing extras and prices.

Follow the main menu procedure and click on the extras button. This will take you to the extras sheet.

Here you can view all extras as well as their price. You will notice that the first 15 extras are for the interior of the car. The rest are for the exterior.

Using the invoice.

To access the invoice sheet follow the main menu procedure and click on the invoice button.

The invoice sheet will appear. Then choose a car from the spinner (numbers 1 to 32). As you will see all details in the row will change along with a car ID change. The price will also change. Do the same for an extra and then the total price will be given at the bottom of the page. The invoice can either be saved onto documents or sent to print.

Printing the invoice.

To do this click on the print button to the right of the sheet. This will automatically send the sheet to the printer.

Saving

To save the system and any changes made go to File, save as in the top left hand corner of the screen and then save the system into a document which you use most often, rename it to something more familiar if you wish, and then click save.

Closing

To close the system, simply click the red cross in the top right hand corner of the screen. You will always be asked to save changes if any have been made since your last save. You will then return to your desktop screen.
